In many organizations, Microsoft 365 brings e-mail, office applications, team communication and cloud storage together in one place. As use spreads, managing accounts and data in an orderly way matters more. In this article we describe four core areas worth reviewing, whatever the size of your organization.

The aim is not to cause worry; it is to raise your security level with orderly, measured steps.

1. Multi-factor authentication (MFA)

Multi-factor authentication means the user proves their identity not only with a password but with an additional verification step. Even if a password is stolen or guessed, it is not enough on its own to get into the account.

Points to watch in practice:

  • Turn it on for administrator accounts first, then for all users.
  • If possible, prefer methods such as an approval notification on a phone or an authenticator app; introduce the methods to users with a short briefing.
  • Decide in advance on a backup verification route for users who lose their device, and who will manage it.

2. Conditional access

Conditional access lets you set rules for access based on conditions such as “who, from where, with which device, to which application”. For example, an additional verification can be requested when a sign-in comes from an unusual location, or access to certain data from unmanaged devices can be restricted.

To get started:

  • Write simple, broad rules first, then refine them if needed.
  • Before opening a new rule to everyone at once, try it with a small group.
  • Keep an emergency administrator account that allows sign-in in a crisis outside the rule, and store it securely.

3. Role and permission management

When administrator rights are held by more people than necessary, a single compromised account can have a large impact. The principle is simple: people should have only the permissions their tasks require.

  • Review at regular intervals who holds the administrator roles.
  • Separate the account used for daily work from the account used for administration.
  • Update the permissions of employees who change roles or leave, on time.
  • Keep roles and assignments in a written list; check it regularly together with the license inventory.

4. Monitoring and reporting security events

Configuring security settings is only half the job; you also need to follow what happens in accounts and in mail flow. Unusual sign-in attempts, unexpected mail forwarding rules or out-of-the-ordinary permission changes are examples of events to monitor.

  • Decide which events will be recorded and who will look at them.
  • Assign a responsible team or person so that alerts do not get lost in one person’s inbox.
  • Turn the findings into a short report at regular intervals; this creates a common language between management and IT.

A short checklist

  1. Is MFA on for all users, including administrator accounts?
  2. Are conditional access rules defined, and is the emergency account protected?
  3. Who holds the administrator roles, and is the list current?
  4. Are security events monitored and reported?
  5. Is the license inventory current?

Getting management from outside

Setting up these configurations is a one-time job; keeping them up takes regular attention. In many organizations the IT team is busy with other work as well. Our Microsoft 365 management service covers tenant and license management, Exchange Online, Entra ID (MFA, conditional access, roles), and security event monitoring and reporting. We set the scope of the service according to the number of users. We can also handle licensing, setup and renewal on your behalf.
