How we work

How we work

We start every job with the same four steps. At each step we write down in advance what we do, what we expect from you and what we deliver.

  • We write the scope down in advance
  • Out-of-scope work gets a separate quote
  • We log your requests

Four steps

  1. Introduction and inventory

In the first meeting we listen to your current setup, needs and priorities, and assess together whether the service fits you. Then we list your existing servers, licenses, accounts, network and backups together.

From you Limited and logged administrator access, an authorized contact person, existing documents.

    Output An inventory document.

  2. Analysis and quote

We assess the current situation, the risks and your needs, and write the scope item by item.

From you Information such as the number of users, servers and devices, existing systems and locations; your priorities, budget range and timeline expectations.

Output A written analysis summary and a quote; we show what is in scope and what is out of scope separately.

  3. Go-live

We set up monitoring, backup, authorization and the communication channel; if needed, we plan the migration.

From you Approval of the agreed scope and of the maintenance window.

Output A go-live summary, access and contact details.

  4. Ongoing management and reporting

We take care of updates, monitoring, fault resolution and your user requests; we provide periodic reports and recommendations (we write their frequency and content in the quote).

From you That you send requests by e-mail, portal or phone, and that you tell us about changes (such as a new user, device or location).

Output A report (its frequency is written in the quote), request records, investment and capacity recommendations.

What a quote contains

  • Scopethe work included in the service, item by item
  • Out of scopethe work that is not included, and how we quote for it
  • Numberscounts of users, servers and devices
  • Term and renewalthe service term, and the renewal and exit conditions
  • Reportthe frequency and content of the report

Contract and reporting

We carry the scope we write in the quote into the contract. We keep a record of your requests and the changes we make. That way it is always visible which job was done, when, and by whom. In the periodic report we share the monitoring results, the requests opened and closed, and our recommendations; we state the frequency and content of the report in the quote.

Our principles

  1. One point of contact

a single team you ask about the work.

  2. We write the scope

what is included and what is out, item by item.

  3. We quote out-of-scope work separately

if work outside the scope comes up, we tell you first; we state the difference in scope and fee in writing and proceed with your approval. We do not surprise you with extra items.

  4. Backup testing

if it is added to the scope, we test that the backup can be restored, at the frequency stated in the quote.

  5. We keep records

we log your requests and changes.

Let's clarify what you need in one conversation.

Tell us what you need; we will get back to you.
